Hands-On Exercises Ch02 (68.0K)Vernier Luxury Suites: Proofing a Letter

Mike Carlson, general manager of the Vernier Luxury Suites, has decided to update the letter that is left in every guest room on arrival. Assume the role of Mike to modify an existing document. You will use the Find and Replace command and Word’s proofing tools.

  1. Open the WD02XTRA01 data file.
  2. Save the document as "Guest Arrival Letter" to your personal storage location.
  3. Notice that Word has marked every instance of the word "Vernier" as a misspelling. Let’s add the word to the user dictionary.
  4. RIGHT-CLICK: any instance of the word "Vernier"

    CHOOSE: Add to Dictionary ( Note: If you are unable to add the word to the dictionary, then choose the "Ignore All" option instead.)

  5. Make all instance of the hotel’s name appear in italics.
  6. CHOOSE: Edit, Replace

    TYPE: Vernier Luxury Suites in both the Find What: and Replace With: text boxes

    CLICK: The More button to display more replace options. (If this is already enabled, the button will read "Less" and you can skip this step.)

    CLICK: The Format button near the bottom of the dialog box under the "Replace" heading and choose Font

    CLICK: Italic under Font Style

    CLICK: the OK button

    CLICK: Replace All

    Word should inform you that it made three replacements.

  7. Mike has decided that he does not like the use of the word "sincerely" in the last sentence because the word also appears as his closing. Let’s find a suitable synonym.
  8. RIGHT-CLICK: the word "sincerely" in the last sentence.

    CHOOSE: Synonyms

    CHOOSE: Genuinely from the dynamic menu

  9. The restaurant is in the process of being redecorated and will have a new name in the coming months. Remove the reference to the name of the restaurant.
  10. SELECT: the text ", Plucky’s, "

  11. Save and then close the document.

Temporary Solutions: Editing a Report

Holly Foraker, a clerical assistant at temporary Solutions, has been asked to reformat the employee handbook. Assume the role of Holly in editing a page from the handbook. You will practice several useful techniques including positioning the insertion point, selecting and changing text, and some AutoCorrect options.

  1. Open the WD02XTRA02 data file.
  2. Save the document to your personal storage location as "IT Policy".
  3. To move the insertion point to the end of the document and then insert some text:

  5. To move the insertion point back to the beginning of the document:

  7. SELECT: the existing title (E-Mail System) at the top of the document.
  8. To replace the selected text:

  12. Save the revised document. The policy should appear similar to Figure 2.2.

Jan Dice: Modifying a Document

Attorney Jan Dice uses Word frequently in the course of business. Because many of her documents contain the same content and wording, she has created "generic" version sof certain documents. In this exercise, you will assume the role of Jan as she creates a new document and pastes existing text into it.

  1. Create a new blank document.
  2. Insert today’s date.
  3. CHOOSE: Insert, Date

  11. Return to your original document and paste the clipboard contents.
  12. Change the underscored portions to reflect the following meeting information:

  14. Save your new document as "Ream Letter". Close the WD02XTRA03 document without saving.
