Vernier Luxury Suites: Creating a Single Envelope

Mike Carlson, General Manager for the Vernier Luxury Suites, often sends follow-up letters to guests he has spoken with. Assume the role of Mike as he creates a single envelope for one of his letters.

  1. Start a new document.
  2. To prepare an envelope:
  3. CHOOSE: Tools, Letters and Mailings

    CHOOSE: Envelopes and Labels

    CLICK: Envelopes tab

  4. Type in the recipient?s address.
  5. CLICK: in the Delivery Address text box

    TYPE: Mr. Andy Grecius

    PRESS: Enter key

    TYPE: 654 E. Town St.

    PRESS: Enter key

    TYPE: Battle Creek, MI 54621

  6. To specify a return address:
  7. CLICK: in the Return Address text box

    TYPE: Vernier Luxury Suites

    PRESS: Enter key

    TYPE: 1234 Main Street

    PRESS: Enter key

    TYPE: Anytown, NA 19032

  8. To select an envelope size:
  9. CLICK: Options command button

    The Envelope Options dialog box should now appear.

  10. Let?s say that you need to print on a Monarch-sized envelope.
  11. SELECT: "Size 10" from the Envelope size drop-down list, if it isn?t already selected

  12. To proceed:
  13. CLICK: OK command button

  14. Let?s use the Add to Document command button.
  15. CLICK: Add to Document command button

  16. To preview the envelope:
  17.     CHOOSE: 75% from the Zoom drop-down list

    The envelope should now appear similar to Figure 7.1.

  18. Save the document as "Grecius Envelope" to your personal storage location.

Temporary Solutions: Merging Selected Fields from an Existing Data Source

Erica would like to send out a letter of notification to past temporary employees who work in IT related jobs. She wishes to accomplish this by using an existing data source that contains contact information for past employees of all job types. Assume the role of Erica as she uses Word?s Mail Merge features to accomplish this task.

  1. Download the WD07XTRA02.mdb data source file to your personal storage location.
  2. Open the WD07XTRA01.doc Word file and save it as "IT letter" to your personal storage location.
  3. Start the Mail Merge Wizard
  4. CHOOSE: Tools, Letters and Mailings, Mail Merger Wizard

  5. In the first step of the Mail Merge Wizard, choose "Letter". In the second step, choose to use the open document.
  6. In the third step, choose to use an existing data source and click the browse hyperlink. Open the WD07XTRA02.mdb file from your personal storage location.
  7. In the Mail Merge Recipients dialog box, scroll right to the "category" field header.
  8. Filter the recipients to include only those records with "IT" as the category
  9. CLICK: the down arrow next to the "category" field header

    SELECT: the "IT" item as shown in Figure 7.2

  10. Proceed to step four of the Mail Merge Wizard and inset an address block at the top of the letter.
  11. Proceed to the next step of the Mail Merge Wizard. In the preview, notice that only two records have been merged.
  12. Proceed to the final step of the Mail Merge Wizard and send the merge to a new document.
  13. CLICK: Edit individual letters hyperlink

    CHOOSE: All

    CLICK: OK button

  14. Save the new document as "IT merge" to your personal storage location.

Jan Dice: Creating Labels for a Single Address

Jan Dice wishes to create mailing address labels in Word. Assume the role of Jan as she creates them using Word?s mail merge functions.

  1. Start a new document.
  2. CHOOSE: Tools, Letters and Mailings
  3. CHOOSE: Envelopes and Labels

    CLICK: Labels tab

  4. To print labels for your address
  5. TYPE: Jan Dice

    PRESS: Enter key

    TYPE: 707 N. Southland Dr.

    PRESS: Enter key

    TYPE: Westland, CA 90010

  6. To print a full page of the same label, ensure that the Full page of the same label option button is selected.
  7. Let?s pretend that you?ve already purchased a box of labels in the Avery format. To choose a label format:
  8. CLICK: Options command button

  9. Make the following selections:
  10. SELECT: "Avery standard" from the Label products drop-down list

    SELECT: "3261R - Return Address" from the Product number list box

    CLICK: OK command button

  11. To save the mailing labels for later printing:
  12. CLICK: New Document command button

    Your screen should now appear similar, but not identical, to Figure 7.46.

  13. Save the document as "Jan Dice Mailing Labels" to your personal storage location.
  14. Close the "Jan Dice Mailing Labels" document.
